Backup and Recovery M365

Backup and Recovery M365 is a cloud-based backup and recovery product powered by Rubrik.

Backup and Recovery M365 protects your Microsoft 365 data in Exchange, OneDrive, SharePoint, and Teams against ransomware, account compromise, and accidental deletion. Customers can retain backups for up to ten years and make them immutable to help meet compliance requirements and protect against tampering or deletion.

Go to My Products > Backup and Recovery M365.

Requirements

To use Backup and Recovery M365, you must have a Microsoft 365 admin account with the required permissions.

Getting started

To get started with Backup and Recovery M365, you must add a subscription and assign a service level agreement (SLA) domain to your Microsoft 365 applications.

Add a subscription

Note

When accessing Rubrik help links for the first time, you may be taken to the Rubrik sign-in page. If you encounter this, see Access Rubrik help links.

You must add a subscription to set up integration between Microsoft 365 and Rubrik Security Cloud for the Rubrik-hosted deployment mode.

To add a subscription, do as follows:

  1. Go to My Products > Backup and Recovery M365.

    You're redirected to your Rubrik Security Cloud dashboard.

  2. Go to Inventory > SaaS > Microsoft 365.

  3. Click Add Subscription.
  4. On the Microsoft 365 Setup dialog, click Next.
  5. In Grant Rubrik Access to Azure, in the Microsoft Entra Domain field, enter your Microsoft Entra ID domain.

    Tip

    You can find your Microsoft Entra ID domain on the Microsoft Entra ID Overview page in the Azure portal.

  6. Click Sign in to Azure and enter the required credentials.

  7. Click Add Subscription.
  8. In Azure Configuration, do as follows:

    1. Select Store data in its original geographic regions.

      We recommend you turn on this option.

    2. Select from the list of central data locations.

    3. (Optional) In Azure key, do as follows:

      • Select Use your own Azure key.

      Note

      By default, Rubrik generates a key in Azure. You can use a Rubrik-generated key or use your own Azure key.

      • In Azure Tenant ID, enter your tenant ID.
      • In Azure Key Vault ID, enter your key vault ID.
      • In Azure Key Name, enter your key name.
  9. Click Add Subscription.

  10. In Authorize Access to Microsoft 365, grant access by signing in to the following Microsoft 365 applications:

    1. Click Sign in to Exchange and enter your credentials.
    2. Click Sign in to OneDrive and enter your credentials.
    3. Click Sign in to SharePoint and enter your credentials.
    4. Click Sign in to Teams and enter your credentials.
  11. In Grant Access to Microsoft Management App, click Sign in to Microsoft 365 Management app to enter your credentials and grant access.

  12. Click Add Subscription.

Assign an SLA domain

SLA Domains provide a unified framework for data protection policies, enabling consistent management across workloads and environments. They simplify the protection and management of multiple workloads.

To assign an SLA domain, do as follows:

  1. Go to My Products > Backup and Recovery M365.

    You're redirected to your Rubrik Security Cloud dashboard.

  2. Go to Inventory > SaaS > Microsoft 365.

  3. Click Assign SLA Domain.
  4. On the Manage Protection dialog, do as follows:

    1. Select the Microsoft 365 applications to assign the SLA domain to.
    2. Click Next.
    3. In Assign an SLA Domain, select a default SLA domain for your organizations.

      • Gold: Backup happens every four hours, with a maximum retention of two years.
      • Silver: Backup happens every 12 hours, with a maximum retention of two years.
      • Bronze: Backup happens every day, with a maximum retention of two years.

    4. Click Next.

    5. In Confirmation, review your configurations and click Assign.

Recover email messages

Note

You can securely back up Microsoft 365 Exchange data so you can recover email messages if information is lost or compromised.

Note

The following is a sample procedure for recovering email messages.

To recover email messages, do as follows:

  1. Go to My Products > Backup and Recovery M365.

    You're redirected to your Rubrik Security Cloud dashboard.

  2. Go to Inventory > SaaS > Microsoft 365.

  3. From the Selected Subscription list, select the Microsoft 365 subscription, then click Enter Subscription.
  4. In Data Source, click Exchange.
  5. In Username, select a user for whom you want to recover email messages.
  6. In Snapshots, select a snapshot from the calendar.
  7. Hover over the snapshot and click Recover.
  8. In the Exchange Recovery dialog, do as follows:

    1. Select Mailbox and click Next.
    2. Select the folders or email messages to recover.

      You can select a folder from the list, or search for a folder or email message.

    3. Click Next.

    4. Select one of the following recovery options:

      • Restore to original user: Restores data to original user.
      • Restore to another user: Restores data to another user.
      • Download from Cloud: Exports data to a ZIP file containing one or more PST files.
      • Recover to a different subscription: Recovers data to a different subscription.
    5. Click Next.

    6. Select one of the following recovery methods:

      • In-place recovery: Recovers data to its original location.
      • Recover to a new folder: Recovers data to a new folder in the original region.

    7. Click Next.

    8. Confirm your settings and click Recover.

To access the help links, do as follows:

  1. Go to My Products > Backup and Recovery M365.

    You're redirected to your Rubrik Security Cloud dashboard.

  2. Click the Help icon Rubrik Help icon..

  3. In Help Center, enter a topic in the search box or select a help topic.

Alternatively, copy the help link titles and paste them directly into the search box.

  1. Click the Expand icon Rubrik Expand icon..
  2. Click any of the help links.

    Rubrik should open the help link without asking you to sign in again during the same session.

Tip

Repeat steps 2 and 3 to search for other help topics. You can also copy the help link titles and paste them directly into the search box.
